Welcome to Karibio®.
This Privacy Notice explains how Karibio collects, uses, stores, shares and otherwise processes personal data when you:
- visit the Karibio website;
- use our mobile applications;
- create or manage an Account;
- search for hospitality or tourism Services;
- make or manage a Booking;
- communicate with a Provider;
- make or receive a payment;
- contact Customer Support;
- submit a review or other content;
- participate in promotions;
- use location-enabled or other Platform features; or
- otherwise interact with Karibio.
Karibio® is operated by Odysify Tours & Travels Limited.
In this Privacy Notice, “Karibio”, “we”, “us” or “our” means Odysify Tours & Travels Limited, trading as Karibio®, unless the context requires otherwise.
For personal data where Karibio determines the purposes and means of processing, Odysify Tours & Travels Limited acts as the data controller. In some limited circumstances, Karibio may process personal data on behalf of a Provider or another organisation under a separate arrangement, in which case the responsibilities of the parties will be determined by the applicable contract and law.
This Privacy Notice should be read together with our:

- applicable Provider Terms; and
- other privacy or legal notices presented when you use a particular Service.
PART A — SCOPE AND DEFINITIONS
2. Who This Privacy Notice Applies To
This Privacy Notice primarily applies to Customers, Guests and other individuals who use or interact with Karibio.
A separate privacy notice or contractual arrangement may apply to:
- accommodation Providers;
- restaurants;
- tour and activity Providers;
- transport Providers;
- business partners;
- employees;
- contractors;
- job applicants; or
- other persons whose relationship with Karibio is different from that of a Customer.
Where you make a Booking for another person, this Privacy Notice may also apply to personal data you provide about that person.
3. Important Terms
For purposes of this Privacy Notice:
“Account” means a registered Karibio customer account.
“Booking” means a reservation, order, request or purchase made through the Platform.
“Customer” or “you” means a person who accesses or uses Karibio or makes a Booking.
“Personal data” means information relating to an identified or identifiable individual.
“Platform” means the Karibio website, mobile applications, digital services and related booking technologies.
“Provider” means a hotel, lodge, guest house, restaurant, tour operator, attraction, activity provider or other hospitality or tourism business available through Karibio.
“Processing” includes collecting, recording, storing, organising, using, sharing, analysing, modifying, retrieving, restricting or deleting personal data.
PART B — PERSONAL DATA WE COLLECT
4. Personal Data You Give Us
The personal data we collect depends on how you use Karibio.
You may provide information such as:
- full name;
- email address;
- telephone number;
- physical or postal address;
- nationality or country of residence where relevant;
- date of birth where required;
- Account username or profile information;
- password or authentication information;
- Booking details;
- dates of travel or service;
- number of guests;
- names of accompanying guests;
- restaurant reservation details;
- tour or activity selections;
- transport information;
- special requests;
- accessibility requirements;
- dietary requirements;
- language preference;
- currency preference;
- payment-related information;
- billing information;
- photographs;
- reviews;
- ratings;
- messages;
- complaints;
- refund requests;
- customer-support communications; and
- other information you choose to provide.
We seek to collect only information reasonably necessary for the relevant purpose.
Mandatory and Optional Information
Some personal data is required to create or secure an Account, make or administer a Booking, process a payment, comply with legal obligations, prevent fraud or provide a requested Service.
Required fields will normally be identified at the point of collection. If you do not provide information that is required for a particular purpose, Karibio may be unable to create your Account, complete or manage a Booking, process a payment, verify a transaction, provide Customer Support or deliver the relevant Service.
Information identified as optional may generally be omitted without preventing you from using unrelated Platform features.
5. Information Required for Particular Bookings
Some Providers or Services may require additional information.
Depending on the Service and applicable law, this could include:
- age;
- date of birth;
- identification information;
- nationality;
- passport or national identification details;
- driver information;
- emergency contact information;
- accessibility requirements;
- dietary or allergy information;
- arrival information;
- pickup or drop-off location; or
- other information reasonably required to provide the Service.
Karibio will not request sensitive information merely because it may be useful.
Where sensitive personal data is required, we will process it only where a lawful basis exists and with additional safeguards appropriate to the nature and risk of the information. Where explicit consent is legally required, Karibio will seek that consent separately and clearly.
6. Personal Data You Provide About Other People
You may make a Booking for:
- family members;
- friends;
- employees;
- colleagues;
- travel companions; or
- other guests.
When you provide information about another person, you should ensure that you are authorised to provide that information and, where appropriate, that the individual understands how their personal data may be used.
We may use information about accompanying guests only to the extent reasonably necessary for the relevant Booking, Service, security requirement or legal obligation.
7. Information We Collect Automatically
When you access or use the Platform, certain technical and usage information may be collected automatically.
This may include:
- IP address;
- browser type;
- device type;
- operating system;
- mobile application version;
- device identifiers;
- language settings;
- date and time of access;
- pages viewed;
- links selected;
- searches;
- search filters;
- session information;
- referral source;
- Platform interactions;
- login activity;
- errors or application crashes;
- security events; and
- approximate location inferred from technical information where applicable.
This information may be collected through cookies and similar technologies as described in our Cookie Policy.
8. Location Information
Where Karibio provides location-enabled functionality, we may process location information to provide features such as:
- nearby hotels;
- nearby restaurants;
- nearby attractions;
- map results;
- directions;
- pickup locations;
- destination recommendations; or
- other location-based functionality.
Precise device location will only be accessed where appropriate permission has been provided through your browser, device or application settings.
You can normally disable location permissions through your device or browser.
Doing so may limit location-dependent Platform features.
9. Information We Receive From Providers
A Provider may provide Karibio with information concerning your Booking or interaction with that Provider.
This may include information about:
- Booking status;
- check-in or arrival;
- cancellations;
- changes;
- payments;
- refunds;
- no-shows;
- special requests;
- complaints;
- disputes;
- damage allegations;
- safety incidents;
- suspected misconduct; or
- other matters relating to the Service.
We may use this information to administer Bookings, provide support, investigate complaints and protect the Platform.
10. Information From Payment Providers
Banks, mobile money operators, card processors, payment gateways and other payment providers may provide Karibio with information necessary to administer a payment.
This may include:
- payment status;
- transaction reference;
- payment method;
- payment amount;
- payment date;
- payer information;
- refund status;
- payment failure information; and
- fraud or security information.
Karibio does not need to receive every piece of payment information held by your financial institution.
Sensitive payment credentials may be processed directly by the relevant payment provider.
11. Information From Other Sources
Where lawful and appropriate, Karibio may receive information from:
- Providers;
- payment service providers;
- identity or verification providers;
- technology providers;
- customer-support systems;
- security and fraud-prevention providers;
- marketing partners;
- social media platforms where you interact with Karibio;
- public authorities;
- publicly available sources; or
- other persons involved in a Booking or dispute.
We may combine this information with information we already hold where reasonably necessary for a legitimate and lawful purpose.
PART C — HOW WE USE PERSONAL DATA
12. Booking and Service Management
We may process personal data to:
- create a Booking;
- confirm a Booking;
- send Booking confirmations;
- communicate Booking changes;
- manage cancellations;
- process refunds;
- communicate with Providers;
- provide Booking reminders;
- facilitate check-in or arrival;
- manage restaurant reservations;
- manage tours or activities;
- coordinate transport Services;
- process special requests; and
- otherwise administer the Service you requested.
Without certain required personal data, we may be unable to complete or administer a Booking.
13. Payments
We may process personal data to:
- facilitate payments;
- confirm payments;
- allocate payments to Bookings;
- issue or facilitate refunds;
- maintain transaction records;
- resolve payment disputes;
- investigate failed payments;
- prevent payment fraud;
- reconcile Provider payments; and
- comply with accounting, tax and financial obligations.
Payment processing may involve independent banks, mobile money operators, card processors or payment gateways.
14. Accounts and Platform Operation
We may process personal data to:
- create and maintain Accounts;
- authenticate users;
- manage login sessions;
- recover Accounts;
- remember preferences;
- save favourite or previously viewed Services;
- provide search functionality;
- display Booking history;
- provide Platform notifications;
- improve navigation;
- maintain Platform availability; and
- deliver other features requested by users.
15. Customer Support
We may process personal data when you contact Karibio for assistance.
This may include using information to:
- identify your Booking;
- verify your identity where necessary;
- respond to questions;
- resolve technical problems;
- investigate complaints;
- communicate with Providers;
- assist with cancellations or refunds;
- address payment issues;
- resolve disputes; and
- improve Customer Support.
Communications with Customer Support may be retained where reasonably necessary for support, security, legal, quality-control or dispute-resolution purposes.
16. Communications Between Customers and Providers
Karibio may provide features that enable communication between Customers and Providers.
We may process communications sent through these features to:
- deliver the message;
- maintain Booking records;
- assist with support requests;
- prevent spam;
- detect fraud;
- investigate abuse;
- protect Platform users; and
- resolve complaints or disputes.
Users should avoid sending unnecessary sensitive information through Platform messaging tools.
17. Safety, Security and Fraud Prevention
We may process personal data to protect:
- Customers;
- Providers;
- Karibio;
- payment systems;
- Accounts; and
- the Platform.
This may include:
- detecting suspicious logins;
- detecting fraudulent Bookings;
- identifying payment abuse;
- preventing account takeover;
- identifying automated attacks;
- investigating false listings;
- investigating fake reviews;
- preventing misuse of personal information;
- investigating security incidents;
- protecting Platform infrastructure; and
- complying with lawful security obligations.
Where reasonably necessary, Karibio may temporarily restrict an Account, Booking or transaction while a security or fraud concern is investigated.
18. Search, Ranking and Personalisation
Karibio may process information about your search criteria, preferences, location where enabled, previous Platform activity and other relevant information to:
- return relevant search results;
- apply search filters;
- improve ranking;
- remember preferences;
- recommend relevant Services;
- make the Platform easier to use; and
- improve your overall experience.
Provider rankings may also depend on factors described in our Terms of Service, including availability, price, location, ratings, popularity and relevance.
19. Reviews and User Content
Where Karibio allows reviews, ratings, photographs or other user content, we may process that information to:
- publish approved content;
- associate reviews with genuine experiences;
- prevent fake or manipulated reviews;
- moderate content;
- investigate reports;
- improve Services; and
- provide information to other Customers.
Information you intentionally publish as part of a public review may be visible to other Platform users.
Do not include sensitive personal, financial or confidential information in a public review.
20. Marketing and Promotions
Where legally permitted, Karibio may use personal data to communicate information about:
- offers;
- promotions;
- new Platform features;
- destinations;
- hospitality Services;
- activities;
- restaurants;
- travel-related opportunities; or
- other Karibio services.
Where consent is required as the legal basis for marketing, we will seek that consent separately.
You may withdraw or change your marketing preferences.
Opting out of marketing does not prevent us from sending essential Booking, Account, security, payment or legal communications.
21. Analytics and Platform Improvement
We may process information to:
- understand Platform usage;
- measure performance;
- identify technical problems;
- improve search functionality;
- understand feature engagement;
- improve Booking flows;
- improve accessibility;
- analyse general trends;
- develop new features;
- improve security; and
- improve overall Platform reliability.
Where possible and appropriate, aggregated or de-identified information may be used for analytical purposes.
22. Finance, Tax and Record Keeping
Karibio may process information where reasonably necessary to:
- maintain accounting records;
- reconcile transactions;
- prepare financial reports;
- process Provider settlements;
- comply with tax obligations;
- maintain invoices or receipts;
- perform audits; and
- meet statutory record-retention obligations.
23. Legal and Regulatory Compliance
We may process personal data to:
- comply with applicable laws;
- respond to lawful requests;
- cooperate with regulators;
- respond to court orders;
- establish or defend legal claims;
- investigate suspected unlawful activity;
- enforce our Terms;
- protect legal rights;
- manage regulatory inquiries;
- exercise data-protection obligations; and
- maintain records required by law.
PART D — LEGAL BASES FOR PROCESSING
24. Lawful Bases
Karibio will process personal data only where there is an appropriate lawful basis.
Depending on the circumstances, this may include:
a. Performance of a Contract
Processing may be necessary to:
- create or administer a Booking;
- provide Platform Services requested by you;
- process a payment;
- manage an Account; or
- provide Customer Support relating to your Booking.
b. Steps Before Entering a Contract
We may need to process information at your request before you complete a Booking or enter into another agreement.
c. Consent
We may rely on consent for certain activities, including where required:
- optional marketing;
- certain cookies;
- precise location permissions;
- particular uses of sensitive information; or
- other processing where consent is the appropriate legal basis.
Where we rely on consent, the request for consent will be presented separately from unrelated terms, will identify the relevant purpose as clearly as reasonably practicable, and will not be treated as consent to unrelated processing.
You may withdraw consent at any time where consent is the lawful basis for processing. Withdrawal will not affect processing that was lawful before the withdrawal.
Accepting Karibio's Terms of Service or acknowledging this Privacy Notice does not, by itself, amount to consent for optional marketing, non-essential cookies, precise location access or another activity for which separate consent is required by law.
d. Legal Obligation
Processing may be necessary to comply with:
- tax obligations;
- regulatory obligations;
- lawful government requests;
- court orders;
- financial-record obligations;
- data-protection requirements; or
- other applicable laws.
e. Legitimate Interests
Where permitted by law, processing may be necessary for legitimate interests such as:
- securing the Platform;
- preventing fraud;
- maintaining reliable Services;
- improving Platform functionality;
- resolving disputes;
- protecting Customers and Providers;
- preventing abuse; and
- operating our business effectively.
We will consider applicable rights and interests before relying on legitimate interests.
f. Vital Interests and Other Lawful Grounds
In exceptional circumstances, processing may be necessary to protect someone's vital interests or on another lawful basis recognised under applicable law.
PART E — HOW WE SHARE PERSONAL DATA
25. Sharing With Providers
When you make a Booking, Karibio may provide the relevant Provider with information necessary to provide the Service.
This may include:
- your name;
- contact details;
- Booking details;
- dates;
- number of guests;
- guest names;
- special requests;
- arrival details; and
- payment status.
Providers may independently have legal responsibilities regarding personal data they receive.
Where appropriate, you should review the Provider's own privacy information.
26. Payment Service Providers
We may share relevant information with:
- banks;
- mobile money operators;
- card processors;
- payment gateways;
- fraud-prevention providers; and
- other financial service providers
where necessary to process, verify, secure or refund payments.
Their own privacy policies may also apply.
27. Technology and Service Providers
Karibio may use third parties to support functions such as:
- cloud hosting;
- data storage;
- cybersecurity;
- email;
- SMS;
- push notifications;
- customer support;
- analytics;
- maps;
- communications;
- identity verification;
- payment processing;
- fraud detection; and
- technical maintenance.
Where a service provider processes personal data on Karibio's behalf, we will seek appropriate contractual and organisational safeguards.
28. Professional Advisers
Where necessary, personal data may be disclosed to professional advisers such as:
- lawyers;
- accountants;
- auditors;
- insurers;
- consultants; or
- other professional advisers.
We seek to limit disclosure to information reasonably necessary for the relevant purpose.
29. Government, Regulators and Law Enforcement
Karibio may disclose personal data where reasonably necessary or legally required to:
- comply with applicable law;
- respond to a lawful court order;
- respond to a legally valid request from a regulator;
- assist lawful investigations;
- prevent or investigate fraud;
- protect a person's safety; or
- establish, exercise or defend legal rights.
We do not intend this section to permit disclosure merely because information has been informally requested.
30. Corporate Transactions
If Odysify Tours & Travels Limited undergoes a lawful:
- merger;
- acquisition;
- restructuring;
- financing transaction;
- sale of assets; or
- transfer of business,
relevant personal data may be transferred as part of that transaction subject to applicable data-protection obligations.
PART F — INTERNATIONAL TRANSFERS
31. Transfers Outside Kenya
Some Providers or technology service providers may operate outside Kenya.
Personal data may therefore, where necessary, be:
- accessed from another country;
- processed outside Kenya; or
- stored outside Kenya.
Where Karibio transfers personal data outside Kenya, we will seek to ensure that the transfer complies with applicable Kenyan data-protection law.
Depending on the circumstances, this may involve:
- appropriate safeguards;
- contractual safeguards;
- an applicable lawful transfer mechanism;
- necessity for the performance of a contract;
- another basis recognised under law; or
- consent where legally required.
Additional safeguards may apply to sensitive personal data.
Before relying on consent for an international transfer where consent is legally required, Karibio will seek to provide appropriate information about the proposed transfer and any material risks associated with it.
Karibio will also seek to assess the countries, service providers and safeguards involved in material cross-border processing and maintain appropriate records of those arrangements.

Karibio may use cookies and similar technologies to:
- operate the Platform;
- maintain login sessions;
- remember preferences;
- provide security;
- prevent fraud;
- understand Platform performance;
- provide analytics; and
- support optional marketing where permitted.

- consent; and
- how to change your preferences.
PART H — DATA RETENTION
33. How Long We Keep Personal Data
Karibio will not retain personal data for longer than reasonably necessary for the purpose for which it was collected, subject to applicable legal requirements.
Retention periods may depend on:
- the duration of your Account;
- Booking history;
- unresolved Bookings;
- payment records;
- tax obligations;
- accounting requirements;
- complaints;
- disputes;
- fraud investigations;
- security investigations;
- contractual obligations;
- regulatory requirements; and
- applicable limitation periods.
Different categories of information may therefore have different retention periods.
When personal data is no longer reasonably required, we may delete, anonymise or otherwise securely dispose of it, subject to applicable law.
Where information is subject to a complaint, dispute, investigation, legal hold, fraud review or regulatory inquiry, Karibio may retain the relevant information for as long as reasonably necessary to resolve that matter or comply with a lawful obligation.

34. Protecting Personal Data
Karibio seeks to use appropriate technical and organisational measures to protect personal data.
Depending on the nature of the information and systems involved, safeguards may include:
- access controls;
- authentication;
- encryption;
- secure communications;
- security monitoring;
- fraud-detection measures;
- backups;
- system updates;
- employee or contractor access restrictions;
- incident-response processes; and
- other reasonable security controls.
No Internet-based Platform can guarantee absolute security.
Customers should also take appropriate steps to protect:
- passwords;
- email Accounts;
- mobile devices;
- authentication information; and
- payment information.
35. Personal Data Breaches
Where Karibio becomes aware of a personal data breach, we will assess the incident and take appropriate steps in accordance with applicable law.
Where legally required, this may include notifying:
- affected individuals;
- the Office of the Data Protection Commissioner; or
- another competent authority.
Karibio will seek to document material personal data breaches, the facts relating to the incident, the effects identified and the remedial action taken.
PART J — AUTOMATED PROCESSING
36. Automated Systems and Decisions
Karibio may use automated systems to support functions such as:
- search ranking;
- fraud detection;
- security monitoring;
- spam prevention;
- recommendation systems; or
- Platform optimisation.
Where automated processing is used, Karibio will seek to comply with applicable data-protection requirements.
Where a decision is based solely on automated processing and produces legal effects or similarly significant effects on an individual, applicable rights concerning automated decision-making will be respected.
Where required, this may include the ability to:
- receive meaningful information concerning the decision and the logic involved;
- request reconsideration;
- express your point of view; or
- request appropriate human involvement.
PART K — CHILDREN'S DATA
37. Children and Minors
Karibio's general Account and Booking Services are intended for persons aged eighteen (18) years or older who have legal capacity to enter into contracts. A person under eighteen should not create a Karibio Account unless a specific Service expressly permits it and Karibio has implemented an appropriate lawful process for that Service.
A Customer may provide limited information about a child or minor when making a legitimate family or group Booking.
In such circumstances, Karibio will seek to collect only information reasonably necessary to complete or administer the Booking.
Where Kenyan law requires consent from a parent or guardian, Karibio will seek to obtain that consent and use reasonable age-verification or consent-verification measures appropriate to the risk and context.
Personal data concerning children will be processed with appropriate regard for the child's rights, best interests, privacy and security. Karibio will not knowingly use children's personal data for behavioural marketing or another incompatible purpose without an appropriate lawful basis.
PART L — YOUR DATA PROTECTION RIGHTS

Subject to applicable Kenyan law and any lawful limitations, you may have rights to:

You have the right to receive information about how your personal data is being used.
b. Access
You may request access to personal data held about you.
c. Correction
You may request correction of inaccurate, incomplete, false or misleading personal data.
d. Deletion or Erasure
You may request deletion or erasure of personal data where applicable.
This right may be limited where continued retention is lawfully required.
e. Object to Processing
You may object to certain processing of your personal data, subject to applicable law.
f. Restrict Processing
Where applicable, you may request that processing of certain personal data be restricted.
g. Data Portability
Where applicable, you may request eligible personal data in an appropriate structured format.
h. Withdraw Consent
Where processing is based on your consent, you may withdraw that consent.
Withdrawal does not automatically affect processing lawfully carried out before consent was withdrawn.
i. Rights Relating to Automated Decisions
Where applicable, you may exercise rights concerning decisions based solely on automated processing that have legal or similarly significant effects.
j. Make a Complaint
You may raise concerns directly with Karibio.
You may also have the right to lodge a complaint with the Office of the Data Protection Commissioner of Kenya (ODPC).

We may request reasonable verification of identity before disclosing, correcting, deleting or otherwise acting on personal data. We will avoid requesting more verification information than is reasonably necessary.
We will seek to respond within the period required by applicable law. Where a request cannot lawfully be fulfilled in whole or in part, Karibio will seek to explain the applicable reason where required.
40. Data Protection Impact Assessments
Where a proposed processing activity is likely to result in a high risk to the rights and freedoms of individuals, Karibio will seek to carry out a Data Protection Impact Assessment before beginning that processing, as required by applicable law.
A DPIA may be considered where relevant to activities involving, for example:
- systematic or large-scale monitoring;
- new technologies;
- significant automated decision-making;
- large-scale processing of sensitive personal data;
- extensive location tracking;
- children's personal data;
- profiling; or
- another activity that may create a high privacy risk.
Where required, Karibio will review the purpose, necessity, proportionality, risks and safeguards associated with the proposed processing.
PART M — YOUR RESPONSIBILITIES
41. Keeping Your Information Accurate
You should provide accurate and current information.
Where your Account permits, you should update information that changes.
If you become aware that important information relating to a Booking is incorrect, please correct it or contact Karibio promptly.
42. Other People's Personal Data
If you provide another person's personal data to Karibio, you should:
- have lawful authority to provide it;
- provide only information reasonably necessary; and
- inform that person where appropriate that their information is being provided to Karibio.
PART N — OTHER WEBSITES AND PROVIDERS
43. Third-Party Services
The Platform may contain links or integrations involving third-party websites, applications or services.
Karibio is not responsible for the independent privacy practices of third parties that operate separately from Karibio.
You should review their privacy information where appropriate.

Karibio may update this Privacy Notice to reflect:
- changes in law;
- regulatory guidance;
- changes in our Services;
- new Platform functionality;

46. Kenyan Data Protection Framework
This Privacy Notice is intended to operate consistently with applicable Kenyan law, including where relevant:
- the Constitution of Kenya, including the right to privacy;
- the Data Protection Act, 2019;
- the Data Protection (General) Regulations;
- applicable Data Protection registration and enforcement regulations;
- the Kenya Information and Communications Act;
- applicable consumer-protection legislation; and
- other applicable national and county laws or regulations.

- applicable Provider Terms;
- applicable Booking Conditions; and
- other notices provided at the point where particular personal data is collected.
If a separate notice applies to a specific processing activity, that notice should be read together with this Privacy Notice.
Where Karibio relies on consent for a specific activity, the relevant consent request may be presented separately from this Privacy Notice. Merely using the Platform, signing in, or acknowledging that this Privacy Notice has been read does not constitute consent for an activity that legally requires separate consent.
